Job Title: Senior Director of Business Services Location: Tallahassee, FL Regular/Temporary: Regular Full/Part Time: Full-Time Job ID: 57548 Department Florida State FacilitiesResponsibilities Under the direction of the Associate Vice President Chief Facilities Officer (AVP/Chief Facilities Officer), the Sr. Director of Business Services is responsible for the overall administration and operation of the Facilities Business Services unit and provides direction and leadership in the establishment and implementation of the Business Service Center. Facilities Business Services provides support for all administrative functions of Facilities including budget, accounting, analysis and reporting, purchasing, accounts receivable and payable, operations center, work order processing, SLA management, long and short-term planning, strategic initiatives, procurement strategies, small project accounting, IT, software management and implementation, position management, employee budgeting, hiring, promotions, terminations, payroll, training, onboarding and offboarding. Exercises decision-making responsibility in the absence of the AVP.Work with the AVP/Chief Facilities Officer and other Facilities leaders in financial, strategic, operational, and resource allocation planning and decisions. Serve as a member of the Facilities Leadership Team and participate in the development and implementation of division-wide goals and objectives. Develop, manage, and lead the administration of an integrated Facilities Business Service Center with the goal of increasing efficiencies and streamlining services to achieve cost savings, compliance and maximum organizational benefits. Meet regularly with the AVP/Chief Facilities Officer to establish and discuss priorities, budget, and personnel/staffing issues. Analyze and advise on complex administrative and business matters related to services and activities; make recommendations to Directors and key leaders. Provide input that may be used for decision-making by senior and executive management in the department, division, and University. Facilitate the development of the five-year maintenance plan, working closely with the AVP, Directors and the Central Finance division throughout the development process. Recommend internal financial and operational policies and monitor adherence to university and state policies and procedures. Lead the department in developing compliance strategies.Serve as primary liaison between departments within Facilities, as well as other University departments and central administrative, fostering improved communication and coordination.Provide extraordinary customer service to directors and staff within Facilities as well as University departments campus wide. Coordinate work between units within the department/division and among various other departments. Facilitate collaboration and information sharing to ensure alignment of goals and objectives across departments and divisions within the organization. Monitor, keep informed and remain current on the latest University policies, procedures and processes; communicate pertinent information to staff and supervisor.Manage & supervise staff responsible for supporting departments with business office functions and the Business Services Center. Responsible for staffing, hiring, evaluation, and training for all direct reports. Evaluate effectiveness of existing business center operations and identify areas for improvement instituting changes as needed. Assist with establishing or enhancing admin systems & objectives that improve operational productivity. Manage the day-to-day functionality, updates and enhancements of the Facilities work order system. Direct all IT support functions and staff for Facilities including desktop support, mobile support, server management, system integrations, and data metric reporting. Provide direction and oversight of admin, financial and IT functions; lead new efforts on proposed developments and growth. In collaboration or with support from Facilities HR, oversee all aspects of personnel management for Facilities including staffing levels, job series development, training, on/off boarding, promoting, performance reviews, stipend, position control and payroll operations. Assist Facilities Directors in managing HR activities which may include staff hiring and processing of annual evaluations. Oversee the development of consistent practices for processing department HR transactions.Act as primary liaison to the University's Central Finance, Budget and Purchasing departments regarding financial transactions and reporting, purchasing, and budgetary activities. Manage the annual budget processes including the forecasting of revenue and expenses. Oversee Facilities financial systems, reporting and analysis including data mining and benchmarking. Prepare timely: daily, monthly, quarterly and annual financial reports on budget versus actuals, revenue and expenses, position control and other pertinent reports that provide the AVP and Senior leaders with critical information to effectively manage the Facilities Division. Is responsible for a system of accounting and fiscal record-keeping in accordance with standard accounting and University practices. Manage the Facilities work order process, Service Level Agreements, utility billing and data reporting. Develop and produce key Performance Indicators (KPI's) for all aspects of the Facilities.Manage time and prioritize activities by recognizing and effectively balancing the differing needs of directors and staff within the Facilities Service Center. Attend professional development seminars and workshops on a regular basis. Serve on committees representing Facilities or the Business Service Center. Perform related duties as required. Continuous process improvement program management, including internal and external reviews of leading practices.Qualifications Master's degree and five years experience related to budget, financial and/or accounting services or a Bachelor's degree and seven years of related experience.
