Program CoordinatorUS-NY-Einstein/Resnick - BronxJob ID: 2024-16459Type: Administrative Support# of Openings: 1Category: Non-Exempt/Non-UnionAlbert Einstein College of MedicineOverview ResponsibilitiesMaintain shared Outlook calendar to organize all appointments, schedule zoom/in-person meetings and travel locally and internationally Manage all travel arrangements, locally and internationally including (when necessary) the completion and submission of visa applications.Act as delegate for Chair’s reimbursement submission Support Chair and collaborative colleagues in editing and creating documentsSchedule seminars and handle all travel arrangements and reimbursements for potential department faculty recruits upon recommendation Chair.Work with vendors and administrator to host two Grant collaborator meetings/seminars per year on behalf of ChairProcess all laboratory-related purchase orders related to Chair and other assigned PIsAssist in the coordination of Chair/assigned PIs HR related activities such as onboarding of new personnel, volunteer applications etcManage department’s weekly work-in-progress, faculty meetings, departmental networking events and yearly departmental retreat Assist in procurement and payment processes; utilize computer-based programs to submit and track supply orders, requisitions, vendor invoices, and work orders, etcWork with Office of Academic Appointment in the handling of faculty promotion submissions, new and secondary Faculty appointments and maintain personnel files across the employment period.Maintain updated personnel filesWork with Procurement to have overdue or late submitted vendor invoices paid.Review open purchase order report and request from vendor to invoices to submit to procurement for paymentAssist in the coordination of department/division related activities including but not limited to the grant application process, onboarding of new personnel, volunteer applications, etc.Work with administrators in preparation of grant applications including entering information into Cayuse system and gathering necessary documenatation from principal investigatorsPerform other related duties as assigned and serve as backup to out of office administrative assistants and their managed labs.QualificationsExperience and Educational BackgroundBachelor's Degree and 3-5 years of experience in higher educational administration.Skills and CompetenciesProficiency in Microsoft Office, especially in Excel.Detailed oriented and ability to manage multiple projects at times with competing priorities.Speaks clearly and expresses self well in one-on-one conversations and groups.Develops effective written communications and uses them appropriately.Interacts and proactively shares information with internal and external contacts where appropriate.No direct management responsibility but must be able to develop effective relationships with peers, students and employees.Hiring Rate:..Post Probationary Rate:..Job Rate:..Minimum Salary Range:USD $61,200.00/Yr.Maximum Salary Range:USD $68,000.00/Yr.PI240475997
