Responsibilities + Coordinate and oversee all facilities-related activities, including maintenance, repairs, cleaning, and security services. + Conduct regular inspections of the office facilities to identify and address any maintenance or safety issues promptly. + Manage relationships with external vendors and service providers, including negotiating contracts, obtaining quotes, and overseeing service delivery. + Maintain accurate records of facilities-related expenses, budgets, and contracts. + Monitor and manage office supplies, equipment, and furniture inventory, ensuring adequate levels are maintained and replenished as needed. + Assist with office moves, renovations, and space planning projects, coordinating with internal stakeholders and external contractors as necessary. + Implement and enforce safety and security policies and procedures to ensure compliance with regulatory requirements and best practices. + Serve as the primary point of contact for facilities-related inquiries, requests, and emergencies, providing timely and effective resolution. + Assist with special projects and initiatives as assigned by management. Controls The employee works under the general guidance of the Manager, Facilities, who reviews the employee's work performance periodically in terms of overall effectiveness and provides professional and administrative guidance as needed. The Manger, Facilities signs time sheets, approves requests for vacation, sick leave, and other time off. This position is non-exempt from the overtime provisions of the Fair Labor Standards Act. Physical Requirements The Senior Facilities Coordinator must maintain the physical condition necessary to perform tasks in an office setting such as operating a personal computer, keyboard, and other peripheral equipment. The employee will be regularly required to stand for extended periods of time, lift heavy objects and maneuver stairs. Periodic travel within North Carolina may be required. Qualifications + Minimum of 5+ years of experience in facilities coordination, property management, or related role, preferably in a mid to large size company. + Bachelor's degree in facilities management, business administration, or related field preferred. + Proven experience in facilities coordination, property management, or similar role. + Strong knowledge of facilities management principles, practices, and regulations. + Excellent organizational skills with the ability to multitask and prioritize competing demands effectively. + Exceptional communication and interpersonal skills, with the ability to interact professionally with employees, vendors, and stakeholders at all levels. + Proficiency in Microsoft Office Suite. + A valid NC Driver’s license. + Ability to work independently with minimal supervision and as part of a team. + Flexibility to respond to urgent facilities-related issues as needed.
